How to Convert Covers Into Cartons for an Event or Service Period

6 min readFoliware India LLP

The short answer

Multiply your covers count by the draw rate for each format your menu
uses, divide by units per carton, and round up to a whole carton. A
single plated course draws one piece per cover. A buffet or thali
service draws across three to five pieces per cover, spread over several
formats. Add a 5 to 10 percent buffer for events, then count back from
the 14 to 21 business day lead time to fix your order-by date.

Covers
is the unit you plan in, cartons is the unit you buy in

An event brief states covers. A quotation is built in cartons. The
conversion between the two is where a first bulk order most often goes
wrong, usually in one of two directions: a buyer orders on a rough
multiple of ten and ends up short on the format that carries the most
courses, or a buyer pads every line equally and ends up with a surplus
of the format that needed the least padding.

Article 01 in this series sets out what a carton and an inner pack
hold. This article assumes that reference is already known and moves one
level up, from pack structure to event scale planning: how many cartons
a given covers count needs, how that changes by menu format, and when to
place the order so it lands before service.

The draw
rate is the variable that does the real work

A draw rate is the number of pieces of a format one cover consumes
across a service. It is not a fixed industry figure. It is a planning
input set from your own menu, and it is the number that decides whether
your carton count is right.

Four service patterns cover most of what buyers order against:

  • Plated service. One format, one piece per cover,
per course. A three course plated dinner draws three separate format
lines, each at a one to one ratio with covers.
  • Buffet service. Multiple formats in play at once. A
buffet running a main, a starter and a dessert on separate formats, plus
a bowl for a wet dish, draws close to four pieces per cover spread
    across four format lines.
  • Thali style service. One large plate carrying the
full meal plus multiple bowls for individual preparations. A thali
service commonly draws one large plate and two bowls per cover.
  • Snack service. Short courses served in rounds
rather than one seating. A reception or cocktail style snack service can
draw two or more small formats per cover simply because the tray turns
    over more than once.

These are planning multipliers, not measured statistics. Set them
from your own menu and adjust the tables below to match.

Covers to cartons at five
order sizes

The tables use the confirmed carton sizes from Foliware operational
data: 300 units per carton for square plates and the snack tray, 240
units per carton for the 12 inch reinforced round traditional plate, and
600 units per carton for bowls. Cartons are always rounded up, because a
part carton cannot be ordered.

Why the
same covers count orders differently by menu

Read the 500 covers row across all four tables and the difference is
plain. Plated service needs two cartons. Buffet service needs seven
cartons spread across four formats. Thali service needs five cartons
across two formats. Snack service needs four cartons of a single format
that turns over twice.

The reason is not that one format is more efficient than another. It
is that buffet and thali menus put more format lines and more total
pieces in front of each cover. A caterer moving from a plated brief to a
buffet brief on the same guest list should expect the order to grow, not
stay flat, and should re-run the calculation rather than scale the
plated order by a rough factor.

Building in a buffer
without over-ordering

Rounding up to the next carton already builds in some headroom, and
on the bowl lines above that headroom is often generous, because bowls
carry twice the units per carton of a plate line. Where the rounding
gives less than 5 percent headroom, typically on the larger format lines
at high cover counts, add one further carton on that line rather than
inflating every line in the order.

A buffer exists to absorb a small miscount at the door or a slightly
higher draw than planned, not to cover a menu that has not been
finalised yet. If the menu is still moving, fix the menu before fixing
the carton count.

Working back
from lead time to an order-by date

Standard lead time is 14 to 21 business days from order confirmation.
Order confirmation is not the day an enquiry is sent, it is the day the
format list, carton count and destination are agreed and the order is
placed. Count back from the event date: the lead time window, plus
whatever time your own approval chain needs to confirm the order, gives
the latest date the enquiry can go out and still land in time.

Events with a fixed date and no flexibility on delivery should treat
the earlier end of the window, 14 business days, as the target for order
confirmation, not as the outer edge of what is possible.

What to send for a quotation

Send the covers count, the menu format, plated, buffet, thali or
snack, and the event or delivery date. That is enough to convert into a
carton order and to check it against the lead time before
confirming.

Frequently asked questions

How many plates do I need for 500 covers? It depends
on the menu format. A plated main course needs 500 units, which rounds
up to two cartons. A buffet running four format lines needs roughly
seven cartons spread across those lines. Run the covers through the draw
rate for your specific menu rather than using a single multiplier for
every event.

What is a draw rate? The number of pieces of one
format that a single cover consumes across the service. A plated course
draws one piece per cover. A buffet or thali service draws more, because
more format lines and more courses are in play at once.

Do buffet and thali services need more cartons than plated
service for the same covers?
Usually yes, because both put
multiple format lines in front of each cover rather than one. The total
unit count per cover is higher even though the covers count is
identical.

How much buffer should I add for an event? 5 to 10
percent is a reasonable working buffer on top of the covers count, and
rounding up to a whole carton often supplies most of that automatically,
particularly on bowl lines.

When should I place the order for a fixed event
date?
Count back 14 to 21 business days from the event date to
find the latest order confirmation date, then add whatever time your own
approval process needs before that. Confirm early in that window if the
event date has no flexibility.
